Coaching Software Landscape 2027

We reviewed 34 active coaching software platforms against one consistent, vendor-source-first methodology, and recorded what each publicly documents about pricing, the coaching workflow, AI, and where data is hosted. This is a market map, not a vendor ranking, and no platform is scored.

Data was collected from vendors’ own pages on 6-7 September 2026 (the 2027 market edition). Where a fact could not be verified from public sources we recorded it as "not documented" rather than guessing, so "not documented" never means "not offered". Exantur publishes this research and is included in the dataset under the same criteria as every other platform, clearly marked as publisher-owned.

What we analyzed

A platform qualified as coaching software if it is marketed for professional coaching and provides at least two core coaching-practice capabilities (client records, notes, scheduling, a client portal, programs/goals/accountability, invoicing/payments, or program delivery), and was commercially live at the check date. Generic CRMs, standalone schedulers, pure course platforms, therapy/EHR products, fitness-only apps and coach directories without practice software were excluded.

The 34 platforms split across six segments: Practice management 10, Solo / small practice 9, Enterprise 9, Course-led 3, Niche 2, Coaching CRM 1. Only the three segments with nine or more platforms carry percentage-style comparisons; the smaller segments are reported as plain counts.

Pricing transparency

Pricing is where the market splits most cleanly. None of the 9 enterprise platforms publishes a self-serve price: 8 require a sales conversation and 1 shows only partial pricing. By contrast, every one of the 19 solo and practice-management platforms publishes at least some pricing.

Published numeric prices were kept in the vendor’s own currency and pricing basis and are not averaged across incompatible bases. Among the small group of EU platforms with a flat per-account entry price, prices cluster around EUR 20 (up to about EUR 49); this is a narrow subset, not a market-wide figure.

The coaching workflow

The client record is the common core: a client portal is documented for 32 of 34 platforms, and a portal plus session notes for 22. Programs, scheduling, reminders and document handling are also widely documented.

Some capabilities carry too much "not documented" to make prevalence claims, so we report them as counts rather than percentages and never infer absence from a missing feature page.

Between-session coaching

The full between-session loop, a client portal plus goals plus accountability plus check-ins all explicitly documented, appears for only 5 of 34 platforms (11 if partial capability counts). The gap is mostly documentation rather than proven absence: cross-session accountability is fully documented for 6, partial for 12 and unverifiable for 16, while recurring check-ins are documented for 13 and unverifiable for 20. No platform states these are absent.

AI adoption

At least one product AI capability is documented for 20 of 34 platforms. AI is most concentrated in enterprise coaching platforms (7 of 9), compared with solo / small practice (5 of 9) and practice management (5 of 10).

We counted a capability as AI only where the vendor’s own product pages or documentation describe it; a marketing mention of "AI" with no product detail was left as not documented.

Privacy and EU-hosting transparency

A public privacy policy is documented for 33 of 34 platforms and a GDPR/AVG alignment claim for 31, but a Data Processing Agreement could be verified for only 14 (for 17 we could not find one). EU data hosting is explicitly documented for 13 of 34; for 19 the hosting region could not be verified and 2 explicitly host outside the EU.

We never inferred hosting location from a company’s headquarters, domain or CDN, and we do not judge whether any platform is "GDPR compliant". The finding is about how easily a buyer can verify these facts from public evidence.

Enterprise vs small-practice differences

Enterprise coaching platforms are consistently sales-only on pricing and lead on documented AI, but expose the least about the day-to-day coaching workflow. Solo and practice-management tools are the transparent-pricing, portal-first segment. Enterprise-technical fields such as SSO, API and webhooks were too rarely documented on public pages to report as market statistics.

All 34 platforms, alphabetical, with the honest documented state for each field. "Not documented" means unverified from public sources, not that a feature is absent. Exantur is marked as the publisher.

Methodology

Selection universe and criteria: candidate platforms were discovered through market research and each was verified against the same inclusion rule (marketed for coaching, two or more core capabilities, commercially live). Generic CRMs, schedulers, course/LMS platforms, therapy/EHR, fitness-only apps and marketplaces without practice software were excluded.

Segmentation: each platform has one primary segment (solo / small practice, practice management, coaching CRM, course-led, enterprise, or marketplace-plus-software). Only segments with nine or more platforms carry percentage comparisons.

Evidence and source hierarchy: facts come first from vendor pricing, product, documentation and security/privacy pages, then vendor help/blog, then credible directories only as corroboration. Search snippets were used for discovery only and never to establish a published value. Every value that supports a public statement is backed by a vendor source; 137 evidence records underlie the dataset.

Value states: each capability is Documented (YES), Partial, Explicitly not offered (NO, only where a vendor states absence), or Not documented (UNKNOWN, could not verify). A missing feature page is "not documented", never "not offered". Percentages state their numerator and denominator; "not documented" is never counted as a "no".

Pricing: entry price is the lowest genuinely usable recurring paid plan in the vendor’s own currency and basis (per coach, per account, per seat, per client, usage or sales-only). Prices are never averaged across currencies or bases. Sales-only pricing is recorded as such, not guessed.

EU hosting and GDPR: EU/region hosting is marked only where the vendor explicitly states it; it is never inferred from headquarters, domain or CDN. GDPR is recorded as component facts (privacy policy, DPA, claim) rather than a compliance verdict.

AI: recorded only with product evidence, not marketing language. Accountability means commitments tracked across sessions, not generic tasks; check-ins mean recurring client-completed reflections.

Publisher conflict: Exantur publishes this research and is a coaching software vendor. Exantur is included under identical rules, marked publisher-owned, and no platform (including Exantur) receives a score or ranking. Seven small operational clarifications were applied consistently to every platform.

Data was collected on 6-7 September 2026. Products change; treat every value as of that check date.

Limitations
  • Public vendor documentation may be incomplete; "not documented" means we could not verify a fact from public sources, not that a feature is absent.
  • Products, features and pricing change over time; every value is a snapshot at the check date.
  • Custom enterprise pricing reduces numeric comparability, and feature availability can vary by plan.
  • Vendor terminology differs; we mapped it to consistent definitions but edge cases exist.
  • Public hosting information is often incomplete, so EU-hosting counts describe documentation, not the full market.
  • The dataset is descriptive; it is not a product-quality ranking. Exantur is the publisher and an included vendor.
  • This is a curated sample of 34 platforms, not the entire coaching software market.
