Coaching practice management software

What is coaching practice management software?

Coaching practice management software is one integrated workspace for running a coaching practice: client records, programs and sessions, notes, goals, accountability, scheduling, invoicing and a client portal, organized around the coaching relationship rather than stitched together from separate tools.

Coaching is relational work, but it is also operational work, programs to run, sessions to document, goals to track, accountability to follow up, clients to keep engaged between sessions. Most coaches manage all of it across an improvised stack of spreadsheets, documents, chat apps and calendars.

Exantur replaces that stack with one integrated workspace built specifically for the professional practice of coaching. The structure of the tool reflects the structure of the work: the coaching relationship, with its programs, sessions, goals, accountability, assessments and documents, is the thing the software is organized around.

The problem with an improvised tool stack

A spreadsheet for client status, a word processor full of dated notes, a chat app for check-ins, a calendar for scheduling, email for everything else. It works, after a fashion, until notes become siloed and unsearchable, accountability items fall out of view between sessions, and the history of a relationship is impossible to scan in the minutes before a session begins.

Why practice management, not another single-purpose tool

The coaching relationship, the sustained engagement between one coach and one coachee over a defined period, is the organizing unit. Not the session, which is a moment within it. Not the client record, which is only a container. Exantur holds the entire arc: programs, sessions, goals, accountability, assessments, documents and the accumulated history, coherent and searchable.

The complete coaching workflow

Before the first session, a coach sets up the program structure and expected outcomes. During sessions, notes are captured across observations, insights, breakthroughs and action points. Between sessions, check-ins keep coachees engaged and give the coach a continuous signal of progress. After an engagement ends, the complete record remains accessible, because coaching is cumulative.

What Exantur includes

Client management, programs and sessions, structured session notes, accountability, check-ins, goals and progress, DISC and Wheel of Life assessments, document and assignment sharing, optional AI support for admin work, and a dedicated coachee portal, all in one place, with EU data residency and row-level security underneath.

Who it is for

Solo coaches run an independent practice across a roster of clients; Exantur gives them one organized workspace instead of a spreadsheet, a word processor and a chat app. Coaching organizations employ or associate with multiple coaches; each coach manages their own relationships inside a shared organizational environment, while administrators keep visibility across the practice without intruding on the confidentiality of any individual coach-client relationship.

Exantur is methodology-agnostic. Session-note categories are prompts, not requirements; check-in question sets are configurable per client and per program; the goal structure accommodates both specific behavioral targets and broader developmental intentions. A coach who works within a structured accountability framework and a coach who works more developmentally can both use the same tools.

What Exantur deliberately does not do

Exantur is not a marketplace that sits between coach and client or takes a commission. That is a deliberate boundary: the product goes deep on the practice of coaching, documentation, accountability, engagement and the client relationship rather than trying to be a shallow everything-suite. It also includes courses (lessons, quizzes and branded certificates) delivered inside the coaching relationship, and it covers the practice essentials that surround the coaching work: online booking with automatic 24-hour and 1-hour session reminders on every plan, client invoicing through the coach’s own connected Stripe account, and two-way Google and Outlook calendar sync from the Starter plan up.

Frequently asked questions

Is Exantur an all-in-one coaching platform?
Exantur is coaching practice management software: client relationships, programs, sessions, notes, goals, accountability, check-ins, assessments, documents and a coachee portal. It also handles the practice essentials around that work, online booking with session reminders, client invoicing through your own Stripe account and two-way calendar sync, plus courses (lessons, quizzes and branded certificates) delivered inside the coaching relationship, while staying focused on the practice of coaching itself rather than becoming a marketplace that sits between coach and client or takes a commission.
Where is my data stored?
All data is stored and processed in the European Union, under GDPR, with access enforced at the database layer through row-level security.
Who is it for?
Solo coaches running an independent practice and coaching organizations with multiple coaches. It is methodology-agnostic, the structure supports any coaching approach.
Does Exantur handle scheduling and payments?
Yes. Coachees self-book through a personal or public intake link, every booking becomes a session, and availability respects your real calendar so there is no double-booking; automatic 24-hour and 1-hour reminders and no-show marking are included on every plan. Client invoicing runs through your own connected Stripe account (Stripe Connect, 0% platform fee, EU-valid VAT invoices paid by iDEAL, Bancontact, SEPA or card) from the Starter plan up.
