Online booking and scheduling software for coaches

Finding a time should not cost a coach three emails and a guess. Exantur gives you a booking link clients use to schedule themselves, a single agenda that holds every session, and two-way calendar sync so you are never double-booked. Scheduling is not a separate tool bolted on, it is part of the same workspace as your notes, programs and clients.

It is part of Exantur, coaching practice management software built for the practice of professional coaching, not adapted from a generic project management tool.

Clients book themselves, straight into your agenda

You set the session types you offer and the weekly availability you want to hold. A coachee, or a prospect who does not have an account yet, opens your personal or public booking link, picks an open slot and confirms. The booking lands directly in your agenda as a session, with no back-and-forth email to settle on a time and no manual entry on your side.

Because availability is calculated from your real calendar, a slot is only offered when you are genuinely free. Someone cannot book a time you have already committed elsewhere.

One agenda for the whole practice

Every session and every booking sits in one calendar instead of two disconnected tools. Sessions you schedule yourself and bookings that arrive through your link appear together, so the agenda is a true picture of the week rather than a partial one.

Two-way sync with Google Calendar and Outlook

From the Starter plan up, the agenda syncs both directions with Google Calendar and Outlook. Sessions created in Exantur appear in your external calendar, and external events block those times so a coachee can never book over them. The sync reads only busy and free time, never the titles or details of your personal appointments, so your outside calendar stays private while your availability stays accurate.

Reminders and no-shows handled

Automatic reminders go out ahead of each session on every plan, so fewer clients forget and fewer slots are wasted. When someone does not show, it is recorded against the client record rather than left as a gap you have to remember. Each session can also carry its own Zoom, Teams or Google Meet link, so a coachee joins the call from their portal instead of hunting through email for the right URL.

Booking that can wait for the paperwork

For engagements that should start on a signed footing, booking can be gated on a signed agreement, so a first paid session is only booked once the coaching contract is in place. Scheduling, signing and payment are steps in one flow rather than three tools stitched together.

Frequently asked questions

Can clients book sessions themselves?
Yes. You share a personal or public booking link; the coachee, or a prospect without an account, picks an open slot and the booking lands in your agenda as a session automatically.
Which calendars can I sync?
Google Calendar and Outlook, both directions, from the Starter plan up. Sessions created in Exantur appear in your calendar, and external events block those times so nothing is double-booked.
Can a synced calendar see my private appointments?
No. The sync reads only busy and free time to prevent double-booking. Event titles, descriptions and attendees are never read.
Are session reminders included?
Yes. Automatic reminders go out ahead of each session on every plan, and no-shows are recorded against the client record.
